This privacy policy applies between you, the user of the Academy Website and Greater Manchester Cancer Academy (“we” “us”) the owner and provider of this Website. We take the privacy of your information very seriously. This privacy policy applies to our use of any and all data collected by us or provided by you in relation to your use of the website..
1. About Us
1.1. In this Privacy Policy, references to “we” or “us” are to Greater Manchester Cancer Alliance (GM Cancer Academy), whose hosted registered office is at PBT Cabins, The Christie, Wilmslow Road, Manchester, M20 4BX, who will be the controller of any personal data processed as described in this Privacy Policy.
2. Interpretation
In this privacy policy, the following definitions are used:
Academy Website – the website that you are currently using, https://www.gmcanceracademy.org.uk/, and any sub-domains of this site unless governed by their own terms and conditions.
Cookies – a small text file placed on your computer by this Website when you visit certain parts of the Website and/or when you use certain features of the Website. Details of the cookies used by this Website are set out in the clause below (Cookies);
Data – collectively all information that you submit to the Greater Manchester Cancer Academy via the Website.
Data Protection Laws – any applicable law relating to the processing of personal Data, including but not limited to the Data Protection Act 2018, the UK GDPR, the Privacy and Electronic Communications (EC Directive) Regulations 2003 as amended by the Privacy and Electronic Communications (EC Directive) (Amendment) Regulations 2011 (PECR);and any national laws, regulations relating to the processing of personal data.
3. Context
3.1. This Privacy Policy applies only to how Greater Manchester Cancer Alliance use your personal data in relations to GDPR 2018. Partner Institutions who provide services to include; WordPress, Learndash, Brevo and Stripe may also gather information and you should consult those other parties’ privacy policies as appropriate and applicable.
4. Collection of Information
We collect your data in the following ways:
4.1. Data given to us by you
a. When you sign up to the Academy website, we collect, store and use certain of your personal information in line with this policy.
b. When you register on the Academy website we ask for your name, email address, job title, professional group, cancer alliance, ethnic data, learning disabilities, and cancer specialist areas of interest. This information is stored on our website to help us to tailor the service to suit you and evaluate the impact of our educational offerings.
c. There is some data that is collected automatically through your usage that helps make improvements to our website content and navigation. This includes IP address, the date, times and frequency with which users access the website and the way they use and interact with its content.
d. when you contact us through the Academy Website or through any other means.
5. Use of Your Information
5.1. By registering on the Academy website, signing up to any education (be it online modules, face to face training or events), responding to or participating in any survey or questionnaire sent to you by us, you agree that your personal information may be collected, stored, used and shared by us and our partners, course and content providers, or third parties we work with, for any of the following purposes:
i. to provide, maintain, protect and improve the quality of the GM Cancer Academy network
ii. to fulfill any contractual agreements between you and us and any third party who has commissioned the education on your behalf.
iii. to send you details of modules, study days and events which we think may interest you, unless you opt out as described at paragraph 10.1.3 below.
iv. iv to manage the personal account that you hold with us.
v. to comply with legal and regulatory requirements.
vi. to contact you occasionally in order to invite you to share your opinions and experiences about the Academy
vii. Certain personal information provided by you including full name, email address, job title, professional grouping, cancer alliance and organisation would be used to create an ePortfolio profile should you decide to sign up to the ePortfolio platform.
5.2. We may use your email address to send you course notices and updates about the Academy.
6. Storage of Information
We will use technical and organisational measures to safeguard your Data, for example:
a. access to your account is controlled by a password and a username that is unique to you.
b. All information is stored on secure servers.
7. Legal Basis for Processing Your Information
7.1. Our legal basis for processing the personal information described above will depend on the personal information concerned and the specific context in which we collect and use it.
7.2. However, we will normally process personal information from you only (i) where we have your consent to do so, (ii) where we need the personal information to perform a contract with you/on your behalf via a third party purchaser or (iii) where the processing is in our legitimate interests and not overridden by your rights.
8. Disclosure of Your Information
8.1. We may disclose your personal information to third parties when permitted by law including:
i. our employees, agents and/or professional advisors – To provide educational support and guidance
ii. our provider of customer relationship management services (which allows us, for example, to send personalised email communications to you); these organisations’ use of your personal data may be subject to their own privacy policies, which are available on their websites.
iii. Your line managers and employer organisation where you have signed up to the ePortfolio platform.
iv. if we are under a duty to disclose or share your information in order to comply with any legal obligation.
9. Data Retention
9.1. We retain personal information we collect from you where we have an ongoing legitimate need to do so (for example, to provide you with a service you have requested or to comply with accreditation by external bodies, i.e. Royal College of General Practitioners).
9.2. In line with the fifth data protection principle, when we have no ongoing legitimate need to process your personal information, we will either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
9.3. With respect to the ePortfolio platform, data is retained for as long as your profile remains active. Data is permanently deleted after 24 months of inactivity. You will receive layered notifications prior to deletion.
10. Your Rights
10.1. You have the following data protection rights:
i. You can edit your personal details via the ‘manage your preferences’ option link on the emails we send to you or by contacting us directly at gmcancer.academy@nhs.net. We maintain a procedure in order to help you confirm that your personal information remains correct and up-to-date or choose whether or not you wish to receive material from us or our partners.
ii. In addition, you can object to processing of your personal information, ask us to restrict processing of your personal information or request portability of your personal information. Again, you can exercise these rights by contacting us using the contact details provided under the ‘Contact us’ heading below.
iii. You may unsubscribe from certain email communications by following the Unsubscribe link in the email communication itself. You may also email us at gmcancer.academy@nhs.net in order to access, correct, delete or update your personal information on our systems. We will answer every email as promptly as possible.
iv. Similarly, if we have collected and process your personal information on the basis of your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.
v. You have the right to complain to a data protection authority about our collection and use of your personal information. For more information, please contact your local data protection authority.
10.2. You may obtain a copy of your personal data that we have collected and this will be returned in a commonly used electronic form. If you wish to access your personal data then you will need to make a request in writing to the address found under the heading 14.1 Contact us.
11. Transfer outside the EEA
Data which we collect from you may be stored and processed in and transferred to countries outside of the European Economic Area (EEA). For example, this could occur if our servers are located in a country outside the EEA or one of our service providers is situated in a country outside the EEA.
To ensure that your Data receives an adequate level of protection, we will put in place appropriate safeguards and procedures with the third parties we share your Data with. This ensures your Data is treated by those third parties in a way that is consistent with the Data Protection Laws.
12. Links to other websites
Greater Manchester Cancer Academy may, from time to time, contain links to and from the websites of third parties. If you follow a link to any of these websites, please note that these websites have their own privacy policies. Please check these policies before you submit any personal information to these websites
13. Cookies
Greater Manchester Cancer Academy uses cookies. Cookies are small files stored on your computer’s hard drive which are used to collect your personal information. The cookies we use are basic to keep your session going (such as staying logged in). We do not use cookies for marketing purposes or for tracking location (other than anonymised GA4 data).
14. Research
14.1. Partner institutions that support Greater Manchester Cancer Academy may carry out research on your use of the site. Research will always be conducted in accordance with current best practice.
15. Updating this Privacy Policy
15.1. We may update or amend this Privacy Policy from time to time, to comply with law or to meet our changing business requirements. When we update our Privacy Notice, we will take appropriate measures to inform you, consistent with the significance of the changes we make.
